Becoming a Chaperone

Chaperones have a very tough job!  A chaperone is willing to do what is needed for the benefit of the team rather than the individual needs of their swimmer.  You will be able to interact with your child and observe their races (this is, after all, why you applied to chaperone).

All Chaperones MUST be USA Swimming registered to be eligible to chaperone.  To become a Non-Athlete Member of USA Swimming, you must (1) fill out and mail in a registration form to Pacific Swimming [$68], (2) set-up an online account on USA Swimming, (3) Complete background check on USA Swimming [$38], and (4) Complete Athlete Protection Training online.  ID cards should be printed and/or accessible through your OnDeck App once your membership is complete.

QuickSilver will be taking up to four parent chaperones to the Clovis Summer Slam meet and training trip. Chaperones are sponsored by QuickSilver Swimming.  QuickSilver will cover transportation and lodging. Chaperones are responsible for their meal costs. Chaperones are expected to travel with the team, stay at the team hotel, and participate in all team travel and meals for the duration of the trip.

Chaperone Duties

Chaperones selected for QuickSilver Swimming must comply with the following duties:​

  1. Attend a planning meeting set prior to the departure of the trip.
  2. On the designated date of departure, I will assist the Head Coach and Team Manager in charge of the team with swimmer check-in, packing, and other assigned duties and will board the designated transportation with my assigned team members or other chaperones.
  3. I will provide a head count of all my assigned team members to the Head Coach and Team Manager in charge of the team prior to departure and upon boarding after every stop thereafter, including the days of competition.
  4. I will account for and remain with my assigned team members at all times.
  5. Every day at the hotel, I will:
    • Make sure all my assigned team members are present and in their assigned rooms;
    • Get and pass on to my assigned team members any instructions from the Head Coach and/or Team Manager in charge of the team regarding the following day;
    • Make sure all my assigned team members have all required uniforms, caps, goggles, suits and any other special uniform items ready for the next competition;
    • Make sure all trash is picked up and properly disposed of from your assigned rooms before final departure from the hotel;
    • I may assist the Team Manager in charge of the team and/or other chaperones with room checks after lights out each night during the trip;
    • I will not enter an athlete's room or allow any parent or adult to do the same under any circumstances, unless otherwise instructed by the Head Coach and/or Team Manager in charge of the team.
  6. Every day at the competition location, I will:
    • Make sure all my assigned team members are present an in their proper uniform;
    • Make sure I can account for each team member at all times, during the competition sessions;
    • Make sure all team members know their event, heat and lane assignments for that particular session;
    • Make sure all team members are ready for their next event, direct them to their designated Coach and their next event(s);
    • Make sure all trash is picked up and properly disposed of in any team area after each session of the competition;
    • Make sure all team members can account for their belongings at the end of the competition
  7. I will comply with any additional duties set forth by the Head Coach and/or the Team Manager in charge of the team.  Common duties include running errands such as buying groceries at Costco or a local grocery store, coffee runs, calling vendors, laundry (washing uniforms), picking up needed medicines from a local pharmacy, loading or moving swim meet food and tents, etc.


I will comply with the duties set forth in this document and/or any additional necessary duties for the safety and well-being of the team members and staff. Any infraction of the above may result in disciplinary action or dismissal from trip.

Chaperone Code of Conduct

As a chaperone for QuickSilver Swimming, I understand and will comply with the following:

  1. I will follow and enforce all QuickSilver and USA Swimming travel policies for athletes.
  2. I will perform all required duties under the supervision of the Head Coach and/or Team Manager in charge of the team.
  3. Possession or use of alcohol, tobacco products or any controlled substances by any swimmer is prohibited throughout the designated duration of the trip. I will report any violation to the Head Coach and/or Team Manager in charge of the team.
  4. I will actively enforce all curfews established for the trip.
  5. I may leave my assigned room to assist other chaperones with duties necessary for the safety and well-being of team members. During my absence, another chaperone, the Head Coach or Team Manager in charge of the team will be charged to monitor my assigned room.
  6. I understand that the Head Coach or Team Manager in charge of the team, at times, may allow male and female athletes in the same room. In such instances, the dorm, hallway or hotel door MUST remain open at all times, occupants must be under the direct supervision of a chaperone, Team Manager in charge of the team, or Head Coach.
  7. I will attend all assigned team functions including, but not limited to, meetings, practices, exhibitions, press conferences and competitions unless otherwise excused or instructed by the Head Coach or Team Manager in charge of the team.
  8. I will comply with all uniform requirements established for the trip.
  9. I will behave in a professional manner that presents a positive image for QuickSilver Swimming and will strive to promote an atmosphere conducive to meeting the competitive performance needs and objectives.
  10. Additional guidelines may be established as needed to ensure the safety and well-being of the team members and subsequently must be adhered to as well. Failure to comply with the Chaperone Code of Conduct as set forth in this document may result in disciplinary action including, but not limited to, the following: (a) Dismissal from the team with a timely scheduled return home, at my own expense; (b) Disqualification from future QuickSivler Swimming sponsored activities at the commendation of the Head Coach.  


Any disciplinary action may be appealed in accordance with Part Four of the USA Swimming Rules and Regulations.
