Thank you for signing up for a Precision Dance Camps (PDC) Choreography Camp.  We truly appreciate you putting your trust in us and look forward to building a long-term relationship with you and your team. 

When you sign-up for a PDC camp, you aren’t only getting a few days of camp, but we are available year-round to answer your questions and provide you with useful resources for you and your team. At PDC we feel strongly about maintaining relationships throughout the entire year.  We love knowing how your year is going, and to help you produce a winning team.  We will answer calls and emails from clients who simply want to discuss their team’s current issues, practices, and current results.

Host Information Packet

We have created this document to help you prepare for your week of camp.  If you still have questions after reading this, please don’t hesitate to email or call us.

PDC Instructors

In order to run great camps, we must have the best instructors.  Our instructors are current/former 16-time National Champion BYU Cougarettes, members of the 2-time National Champion UVU Dance Team, or dancers who have danced professionally.  All of our instructors have trained in the PDC Curriculum and will do a wonderful job teaching technique and choreography.  We will send one instructor for teams with 15 or fewer dancers.  We will send one instructor and one choreographer for teams with 16+ dancers. 

Once we have your instructing staff organized we will email you their contact information, along with any travel arrangement details, etc. We will be communicating with you regularly via email. If you do not like using email, please let us know so we can be sure you stay up-to-date will all arrangements for your camp.

Our instructors have a high level of commitment when working with us.  However, circumstances may arise (i.e. death in the family, illness, etc.) that may cause us to make last minute changes with our staff.  We reserve the right to make instructor changes.  However, we will avoid this whenever possible.

Room and Board for PDC Staff

As you know, we travel to your town.  Our instructor(s) will arrive the afternoon/evening before camp.  You are responsible for providing hotel accommodations and feeding our instructor(s) the day before camp to the last day of camp.  If your team has 16+ dancers we will be sending two staff members, and you will only need to book one hotel room for them.

Ask your parents to host lunches and dinners.  A suggestion is have different families prepare dinner each night.  Some coaches prefer to take our instructors out to lunch or dinner, and others like to give the instructors a per diem (breakfast = $8, lunch=$10, and dinner=$12) if there are restaurants within a short walking distance from the hotel.  This is entirely up to you.

Suggestions for Meals

Breakfast: Provided by host coach, parents, per diem, or often hotels offer a complimentary breakfast buffet.

Lunch: Host coach coordinates – either go out, parents cater, or per diem.

Dinner: Host coach coordinates – either go out or parents cater, or per diem.

Transportation

If we fly our instructors to your town, the host needs to provide or arrange transportation to and from the airport, and to and from camp each day.  PDC is responsible for purchasing flights and planning all travel arrangements for instructors.

9:00am-9:30am: Team-building

9:30am-12:00pm: Classes

12:00am-1:00pm: Lunch

1:00pm-4:00pm: Exclusive choreography

4:00pm-4:30pm: Team-building

Timeline of Important Items and Requirements for Your Exclusive Routine

Six weeks before camp:

  • You are responsible for providing your choreographer with all the competition rules and regulations for your routine so we know the limits of what we are to choreograph. It is helpful to send your choreographer a video or idea of what a winning routine in your division looks like so they have an idea of what you are competing against.
  • You are responsible for providing any specifics of what you would like in the routine, and what you do not want in the routine (i.e. specific leaps, turns, tricks, etc.)

Three weeks before camp:

  • You are responsible for cutting your own piece of music and getting it to the choreographer at least three weeks before camp to give your choreographer ample time to create your original piece.
  • You are responsible for pre-picking the dancers who are to be in the dance (that is if there are more dancers than spots in the dance).  There is not enough time at camp for the choreographer to choose on the spot who should be in the routine.

Other items:

  • We suggest that you videotape the routine so that when the choreographer leaves you to have the video to use as a guide.
  • You need to be aware that the choreographer will set the entire routine during camp, but you are responsible for cleaning the routine.  The choreographer is not responsible for cleaning the routine since the time at camp is limited.

Choreographer Contact

We will be the primary contact for the camp in coordinating all the details of your camp; however, we will provide you with the choreographer’s contact information to discuss expectations of choreography, ideas, to send videos, music, etc. You should communicate directly with them about your choreography.

Routines and Combos Learned from PDC Curriculum

Non-exclusive routines and combos learned at camp are pulled from our PDC Curriculum, meaning a number of other schools may learn the same material. These are to be used for performances ONLY. They ARE NOT intended for competition use. But, of course, your exclusive choreography is exclusively yours!

Participation/Assumption of Risk Waivers

In the coming weeks, we will send you a link to our online participation/assumption of risk waiver to forward onto your parents to sign for their dancer. Before camp will send you a list of dancers that have signed forms to confirm all dancers are accounted for. Each participant MUST have the waiver completed and signed by a parent/guardian in order to attend camp.  They will not be allowed to participate without a signed form.

Camp T-shirts

Each dancer, coach, and assistant coach will receive a t-shirt.  If your instructor(s) are flying to camp, shirts will be mailed at least one week before your camp begins. If your instructor(s) are driving to camp they will bring the t-shirts with them. We will request t-shirt sizes to ensure each individual has the appropriately sized t-shirt.

Post-Camp Evaluations

We are very interested to hear how your camp experience went.  After your camp we will send you camp and instructor/choreographer evaluations via email.  We really appreciate you taking the time to let us know how we did, what you liked and how we can improve.

Camp Finances

Camp Deposit

If you opted not to pay your deposit online, Heather will send you a deposit invoice shortly. Camp reservations are only guaranteed once we receive your deposit.  Camp availability is based on a first-come, first-serve policy based upon receipt of deposits.  Deposits are due within 30 days after you register.  In other words, we can only guarantee your reserved dates once we receive your deposit, and only if there is space available.

Please keep in mind deposits are non-refundable.  If, based upon receipt of deposits, your particular dates are full; we can try to schedule you into the second choice of dates.  If we receive your deposit after your requested dates have closed, we will return your check immediately.  (Note, this is the only exception to refunding deposits.)  Another option is we can use it to guarantee the dates of your choice for next summer.  If a deposit is not received four weeks prior to camp your camp will be canceled

Payment Information

Since we will not be collecting individual checks from your dancers, they should make checks out to you or your school, depending on who is handling the finances.  Typically, it will go through the school, but several coaches may elect to handle the finances themselves to avoid administrative red tape. 

An initial deposit of $1,000 is due within 30 days after you register to hold your spot for camp.  You have the option of paying your final payment online with a credit card via PayPal. (Keep in mind there is a 3% convenience fee for credit cards). Or you can mail in a paper check.  We ask that you put your final payment in the mail before the last day of your camp.  If you are going through your school finance department, please give our payment info to them early to avoid any delays in payment. 

16 dancers at $165/dancer (for a 3-day camp) =                                            $2,640

Please note, changes in the number of dancers attending camp must be made three weeks prior to camp.  If dancers drop out within this three-week timeframe we ask that you pay the original amount for the number of dancers that were planning on attending camp.

Checks

PDC Curriculum Routines for Sale

If you are interested in purchasing our curriculum video it is available for $150.  This will include all the combos and routines learned at camp, plus additional routines. All routines are broken down by counts and taught with music. This is very helpful to clean routines learned as well as have additional routines to use throughout the year.

Choreography Camp Contract

Choreography Camp Contract

What Precision Dance Camps Provides

  • Please let us know as soon as possible how many dancers will be attending camp as we need to organize instructors.

  • Camps run three days.  We will work with you to design a camp schedule focused on the areas of curriculum that specifically meet your teams’ needs.

  • PDC will provide expert instruction, a digital playlist of the routines learned at camp, camp awards (if desired), and t-shirts for coaches and dancers.

  • A professional, quality, and exclusive piece for your team.
  • PDC provides routines and combos pulled from our curriculum and they are only supposed to be used for performances ONLY, not competitions. This excludes your original routine that is choreographed exclusively for your team.
  • We recommend the following the following schedule*:

9:00am-9:30am: Team-building

9:30am-12:00pm: Classes

12:00pm-1:00pm: Lunch

1:00pm-4:00pm:  Exclusive choreography

4:00pm-4:30pm: Team-building

*Please note schedules are subject to change based on the needs of your team.

What You Provide

  • Sufficient practice space for your team.

  • Dancers who are in good physical shape.  The camp will be physically demanding, and if dancers are stiff and sore, they do not benefit from the experience as much as if they are fit. 

  • Room and board for our instructor(s).  Details on housing the instructors are in the Host Information Packet.

  • Adequate sound system with an iPod hookup (one per practice room).

  • Ballet barres (if ballet technique is a part of your schedule).

  • Parents and participants must sign camp waivers.  We will provide you a link to the online waiver. You will need to verify all dancers have signed waivers at least one week prior to camp.

  • As the coach you will be present at all times when camp is in session.
  • You are responsible for providing your choreographer with all the competition rules and regulations for your routine so your choreographer knows the limits within what we are to choreograph. Note: it is helpful to send a your choreographer a video or idea of what a winning routine in your division looks like so the choreographer has an idea of what you are competing against.

  • You are responsible for providing any specifics of what you would like in the routine, and what you do not want in the routine (i.e. specific leaps, turns, tricks, etc.)

Finances

  • We will NOT accept individual checks from the participants.  Please provide one check from your account, or a check from the school’s account. Or you are also welcome to pay by credit card online.

  • Tuition is $165/dancer for a 3-day camp for 11+ dancers. If you have fewer than 11 dancers tuition is a flat rate of $1,650. The choreography fee is $550.

  • Our instructors are independent contractors so you or your school will pay them on the last day of camp.  Details regarding these payments are in the Host Information Packet.
  • Reservations are only guaranteed once we receive your deposit.  Camps availability is determined on a first-come-first-serve policy based upon receipt of deposits.  Deposits are due within 30 days of registration and are non-refundable.  We can only guarantee your reserved week once we receive your deposit and only if there is space available.

  • Note: if based upon receipt of deposits your particular dates become full; we can try to schedule you into your second dates of choice.  If we receive your deposit and your requested dates are full, we will be happy to refund your money immediately.  Or, we can use it to guarantee the dates of your choice for next summer.  This is the only exception for refunding deposits.

  • You will confirm the numbers of dancers attending camp three weeks prior to camp. If dancers drop out within this three-week timeframe we ask that you pay the original amount for the number of dancers that were planning on attending camp.
